How to calculate worked hours and overtime

Use this time card calculator to calculate worked hours for each day, total weekly hours, and overtime. Follow these steps:

• Enter the start time, end time, and break for each workday to calculate the daily total of worked hours automatically.
• If you already know the daily total, enter it directly instead of using start and end times.
• Repeat this process for each workday included in your time sheet, leaving unused days blank.
• To calculate overtime, enter the contracted weekly hours and the overtime pay rate.
• Review the results for total weekly hours, overtime hours, and overtime pay.

How to calculate the overtime pay rate

The overtime pay rate is the regular hourly rate plus the premium from the FLSA, your state, or your contract. Work it out, then enter it in the field. There are 2 steps:

Step 1: Determine the Regular Hourly Rate

To get the overtime pay rate, first find the regular hourly rate: divide base pay by the contracted hours (under the FLSA, the regular rate can also include non-discretionary bonuses). Examples:

Monthly salary example

With a $4000 monthly salary and 160 work hours per month, the regular hourly rate is: $4000 / 160 = $25

Weekly salary example

With a $1000 weekly salary and 40 work hours per week, the regular hourly rate is: $1000 / 40 = $25

Step 2: Apply the Overtime Premium

Under the U.S. Fair Labor Standards Act (FLSA), most non-exempt employees get time and a half (a 50% premium, or 1.5×) for hours over 40 in a workweek. Some states go further: California pays 1.5× after 8 hours in a day and 2× after 12 hours. This tool does not apply 1.5× or daily overtime by itself: enter the overtime pay rate that applies to you. The 50% below is the federal time-and-a-half example.
